Information we collect
When you submit a project brief or contact MoniSa, we may collect your name, work email, company, phone number, project details, language requirements, deadline, and any files or context you choose to share.
How we use it
We use enquiry information to respond, scope the request, prepare follow-up questions, maintain communication records, improve website performance, and protect the site from misuse.
What counts as personal information
Personal information means anything that identifies you or could reasonably be linked to you. On this website that is: the name, work email, phone number and company you type into a brief; anything personal you choose to include in the project details; and the technical record attached to a submission — the page you landed on, the page you submitted from, the referring site, any campaign parameters in the link you followed, the call to action you clicked, and when you were first seen. That last group describes your visit rather than your identity, but it is stored alongside your enquiry, so we treat it as personal information too.
Why we are allowed to process it
For a project brief, the lawful basis is that you asked us to: the processing is necessary to take steps at your request before entering into a contract, and to pursue our legitimate interest in responding to a business enquiry. We do not rely on consent for this, because you cannot send a brief and simultaneously withhold permission to read it. For website analytics, the basis IS your consent — the banner has a real Decline, declining is honoured, and nothing analytical is measured until you choose.
Who else handles it
Google. Two services, both named: Google Analytics 4 (measurement ID G-REQNXRVYR2) if you accept analytics, and authenticated Gmail SMTP, which carries the notification to our team and the confirmation back to you. Our hosting provider stores the site and the enquiry records as part of running the server. That is the complete list for website enquiries — there is no advertising pixel, no chat widget, no third-party form service, and no data broker. The freelancer registration portal described further down runs on the same domain, is a separate application, and has its own short list, named there. We do not sell personal data, and we do not disclose or share enquiry information with anyone outside MoniSa except the providers named here.
Where it goes
MoniSa Enterprise Pvt Ltd operates from Udaipur, India. If you contact us from the United Kingdom, the European Economic Area, or anywhere else, your enquiry is transferred to and stored in India, and Google may process it in other countries under its own infrastructure. Transfers out of the UK or EEA are made on the basis of your request for pre-contractual steps and our contractual commitments to protect the data. If you need a specific transfer mechanism documented for your procurement file, ask the contact below and we will provide it.
How long we keep it
Our retention rule is simple. Enquiry records are kept for 24 months after our last contact with you, then deleted. If an enquiry becomes a project, the project records are kept under the terms of the signed agreement instead. You can ask us to delete an enquiry sooner and we will, unless we are required to keep it for a legal or accounting reason — in which case we will tell you which reason applies and for how long.
Your rights, and how to use them
If UK or EU GDPR applies to you, you have the right to ask for a copy of your data (access), to have it corrected (rectification), to have it deleted (erasure), to have its use paused while a dispute is resolved (restriction), to receive it in a portable format, and to object to processing based on legitimate interests. India’s Digital Personal Data Protection Act 2023 (the DPDP Act) gives comparable rights of access, correction, erasure and grievance redressal. To use any of them, email the contact below — no form, no fee, and no obligation to explain why. We will respond within 30 days. If you are unhappy with the outcome, you can complain to your national data protection authority; in the UK that is the Information Commissioner’s Office.
The freelancer registration portal
Separately from this website, MoniSa operates a registration portal at monisaenterprise.com/registration/ for freelance linguists, subject-matter experts and data-collection agents applying to join our specialist network. It is a different application with a different purpose, and if you have applied through it, this is what that involves. It collects the account details you create, the professional information you enter, and the documents you choose to upload — typically a CV, qualification or degree evidence, a profile photograph, sample recordings where the work is voice-related, and signed agreements such as a non-disclosure or payment policy. Those documents are stored on our hosting, are not published, and are not reachable by anyone who has not signed in; we verified that directly. The portal is excluded from search engines. It loads two public code libraries from jsDelivr and cdnjs to render its interface — those are the only third parties involved, and they receive no application data. Applicant records are kept while your application or engagement is active and for as long afterwards as tax, contractual and audit obligations require. Your rights over that data are the same as the rights set out above, and the same contact answers them.
IP addresses
Your IP address is used in one place and stored in none. When you submit a brief, the address is converted to an irreversible hash and that hash is used as a key to apply a 30-second cooldown against repeat submissions; the only thing recorded against it is a timestamp, and the raw address is never written to the enquiry record. Separately, our hosting provider keeps standard server logs, and Google Analytics receives your address as part of any measurement you have consented to, where Google applies its own handling. If you decline analytics, no address reaches Google through this site.
Opting out
Decline analytics in the consent banner and no analytics data is collected, and no analytics cookie or browser storage is set — the Cookie Policy sets out which technologies the site uses and how to control them — the choice is stored and honoured on later visits, and you can change it at any time. If we have emailed you and you would rather we did not, reply asking us to stop, or email the contact below, and we will remove you from follow-up. Opting out of analytics does not affect your ability to send a brief; opting out of follow-up does not delete an enquiry you already sent, though you can ask for that separately.
